Enroll patients and capture referrals

Give patients their personal link, code and QR, and record the referrals that arrive online, by booking or verbally at reception.

Enroll a patient as an advocate

On a patient's page, the Referral programme panel (shown while the programme is live) has an Enroll as advocate button. Enrolling:

  • creates their personal referral link, a spoken code like REF-7GK4M9 and a private "my referrals" status page, and
  • messages all three to the patient on their preferred channel so they can start sharing straight away.

The panel then shows the link with a copy button, the spoken code, a QR code and a Print button for a hand-out card. The best moment to enroll someone is right after a great visit.

The patient shares the link themselves — from their own phone, with a prewritten message. The practice never contacts the friend until the friend gets in touch, which is what keeps the scheme compliant with UK e-privacy rules.

What the friend sees

A friend who opens the link lands on a page with the practice's name and colours, the offer for both sides, the full terms, and a short form (name plus mobile or email, with a required consent tick). When online booking is enabled, a Book your first visit now button takes them straight into the booking funnel — the referral rides along automatically.

Submitting the form creates an ordinary lead: it appears on Today with a Referral chip, starts the usual new-lead automations, and the advocate gets a "your friend got in touch" message (first name only).

A friend who is already a patient sees the same thank-you screen — the form never reveals who is or isn't a patient — but the referral is recorded as disqualified with a note on their timeline, and no reward applies.

The poster / QR landing page (from Settings) is a generic version of the same landing where the friend also enters the advocate's spoken code. Use it on waiting-room posters, reception cards and social bios.

Verbal referrals at the front desk

Plenty of referrals are a name mentioned over the phone or at reception. When creating the lead (Today → New lead, or Patients → New patient), use Referred by a patient? to search for the referring patient. That one field:

  • links the friend to the advocate (auto-enrolling the advocate if needed, welcome message included),
  • stamps the lead source with your referral-channel source, and
  • creates the programme's referral record so the reward tracks like any other.

If the attribution was missed at creation, setting Referred by on the patient later records it retroactively — and if the friend's treatment was already won, the referral qualifies immediately (the hold window runs from today).

The advocate's status page

The welcome message includes a private status link where the patient sees their link, QR and code, each referral in friendly terms (Invited → Almost there → Reward earned), and their reward balance with expiry dates. First names only, never treatment details.
