Clinical reports

Radiograph audit (UK), perio coverage, treatment completed, lab turnaround, prescriptions issued, new patients and referrals — counted from the clinical record.

Open Reports in the clinical workspace and pick a report under Clinical. Each counts the clinical record as it stands now, by the date it names, in your practice's time zone. Below the figures come its rows — one per image, exam, treatment, lab case, prescription, new patient or referral — naming the patient, with a link to their record. The rows load a page at a time, newest first: click Load more at the foot of the table for the next page, until every row has shown.

The rows naming patients show to everyone who can open reports and see patients. Each page of rows is recorded as a clinical read of each patient it names, as opening their record would be. A report email carries the summary figures and its first table only, never the patient rows.

Radiograph audit (UK)

For practices in the UK, where the Ionising Radiation (Medical Exposure) Regulations apply. A practice in another country does not see this report, cannot subscribe to it, and the API refuses it.

Every x-ray taken at one of your UK sites in the window, counted from its latest image details:

  • Justified — the share with a justification recorded;
  • Grade A and Grade N — the quality-grade split, beside the images Not graded (details with no grade);
  • Evaluated — the share with a written evaluation.

Every share is of all the x-rays in the window. An x-ray with no details at all counts as Not recorded and counts against each share. The By operator table groups the x-rays by who took them — Taken by on the details — and By modality by type (bitewing, periapical …); details that name no operator or type count as Unknown. Evaluations by evaluator counts who wrote the evaluations.

Dated by the day the x-ray was taken, or the day it was uploaded when no taken date was recorded; the rows say which. Photos are not counted, and an image marked entered in error, or deleted, is left out.

Perio coverage

The probing exams completed in the window, by exam date: how fully each was charted and what it found.

  • Sites assessed — the sites probed, totalled over the exams; Of eligible sites puts them against the sites each exam could have probed, six on every tooth or implant its own anatomy shows, leaving out missing and unerupted teeth.
  • Bleeding (exam average) and Plaque (exam average) — the average of each exam's own percentage of the sites assessed for it. A short exam counts as much as a full one; an exam that recorded no bleeding (or no plaque) is left out of that average.

Draft and voided exams are not counted. The By clinician table shows the same figures for each clinician who recorded exams.

Treatment completed

Treatment completed in the window, by service date — the date the work was done, including a date corrected later. Each treatment counts once: a repriced treatment counts as its current version, with its current clinician and date. Counted By treatment (code and name), By clinician and By site (the tooth, the teeth of a bridge, denture or splint, or the area). Voided treatment is left out, and planned or started work is not counted.

Lab turnaround

Lab cases sent in the window, by sent date, for each lab: how many came back and were fitted, the average days from sent to received and from sent to fitted (over the cases that got that far), and Not back yet. A cancelled case is left out. A remake sent again is its own case, counted from the day it was sent; the case it replaces keeps its own sent and received dates.

Prescriptions issued

Prescriptions issued in the window, by issue date, By clinician (the prescriber) and By kind (NHS, private or US state). Drafts that were never issued and voided prescriptions are not counted.

New patients

Patients whose first-ever completed treatment on a code ticked Counts as a new patient falls in the window, by the date of that visit. The new-patient exam is ticked to start with; tick any other code you use for a first visit in the clinical catalogue. Counted By site and By clinician of that visit; the rows list each patient with the date, treatment, clinician and site.

  • A patient counts once: a second visit on a ticked code never counts again.
  • A voided treatment never counts, so if a patient's first visit is voided, their next one counts.
  • The report is live. A treatment recorded later with an earlier date moves the patient to that earlier month.
  • A patient whose earlier history never reached Smileline counts at their first such visit here.

Patients registered sits beside it: the records created in the window that are patients today (patient, inactive or deceased). Enquiries and leads aren't patients yet, and archived or merged records are left out. It is its own figure and never added to the new patients, because a registration isn't a visit.

Referrals

The clinical referrals whose submission was recorded in Smileline in the window, by submission recorded date. There is no separate sent date: the date is when the referral was submitted in Smileline. Drafts, and referrals cancelled before they were submitted, are left out. Each referral is counted by its status today.

  • By direction and kind — referrals out and in, internal (in-house and in-group), external and NHS external, with how many are awaiting a reply, accepted, booked, completed, declined or Cancelled after submission, the completion rate and the average days from submission recorded to completed.
  • Out, by recipient — the professional contact or the clinician each referral went to.
  • In, by referrer — who referred: a professional contact, or the referring clinician for an internal referral. Beside the referrals, never added to them:
    • New patients naming this referrer — patients registered in the window whose record names that referrer;
    • Charges of their referred patients — the charges in the window of the patients that referrer sent you.

Charges count each referred-in patient once, under their first inbound referral ever, from that referral's date. A patient referred twice counts twice as a referral, but their charges go to the referrer of their first referral only. A correction such as a reversed charge counts on its own day. This attribution is a rule, not a fact: it answers which referrers send the most work.
