Partner programme
Bring practices to Smileline, set them up on the free plan, and earn a share of what they pay every month.
The partner programme is for dental marketing agencies, consultants and anyone else who brings practices to Smileline. You create the practice, its team signs in, and you earn a recurring commission on every invoice the practice pays, except for Academy courses.
This is not the patient referral programme. Practices reward their patients for referring friends under Settings → Referral programme; the partner programme rewards you for referring practices.
Apply
- Open Become a partner from the Smileline website footer, or go to
/create-organization?partner=1. Sign in or create your account when asked. You can apply from an account that already runs a practice: the partner account is created beside it, and you switch between them from the sidebar. A new account created after opening the partner dashboard (/partner) while signed out also lands on this application. - Enter your agency or company name, your website and the country you operate in, then accept the programme terms and click Apply.
- Your partner dashboard shows Your partner application is being reviewed until the Smileline team approves it. Approval is manual.
A partner account is not a practice: it has no patients, inbox or calendar of its own, and it is never billed. Its sidebar has four pages: the partner dashboard, Lead reports, Commissions and Team.
Create a practice
Once approved, click New practice on the partner dashboard.
Enter the practice name and website. Under Colleagues who get access, tick anyone from your agency who should be able to open the practice from the start; they join it alongside you, all with the Agency role. Then enter the practice's location. These are the same first two steps every practice goes through.
Click Invite the practice owner and enter their email. They receive an invitation, sign in, and own the practice from then on: they accept its agreements and manage its billing. You stay a member of the practice you created and can open it from your dashboard at any time.
Click Back to the partner dashboard. The practice already appears there.
The owner invitation lasts 48 hours. If it expires, or went to the wrong address, open the practice and go to Settings, then Team members: Resend renews it for another 48 hours and emails it again, and Cancel withdraws it so you can invite the right address. An AI agent connected to your agency can do the same until the owner joins (see AI agents → Agencies). Until then, one address receives at most three owner invitation emails for the practice in 24 hours, whoever sends them. The limit never applies to the owner's own invitations.
A practice you create starts on the free plan: everything works, no card is needed and there is no trial, but the practice is limited to 500 patients. From its 300th patient, every page asks the practice to subscribe to keep going. Enquiries that arrive past the limit are held, counted on the practice's banner and on your dashboard, and created automatically the moment the practice subscribes from Settings → Billing. See Billing for the free plan in detail.
Colleagues at your agency see every practice on the dashboard but can only open or invite into the practices they are members of. Add them when you create the practice, or ask whoever created it to invite you from that practice's Settings → Team.
The Agency role
You, and the colleagues you choose when you create a practice, join it with the Agency role. Agency has a manager's access: the CRM, inbox, calendar, marketing, settings, integrations and the team. It cannot manage billing, accept the practice's agreements, delete the practice or erase a patient; those stay with the practice's owner. It cannot run the practice's Academy channel or buy its Academy courses either, which only the owner and managers can. Until the owner joins, the practice has no owner, and anyone with the Agency role can send, resend or withdraw the owner's invitation.
The practice's owner can also switch any member who is on your agency's Team to Agency from Settings → Team, for example in a practice you linked rather than created. Only the owner can give it, only to your agency's active staff, and only the owner can change an Agency member's role afterwards. Nobody can be invited with it.
While a practice has no owner, nobody can take away its last active Agency member: they cannot leave, be removed or suspended, or delete their account, until the owner joins. If your agency loses its authority over the practice (below), that seat is suspended anyway; the owner's invitation still works.
Your access to a practice ends as soon as your agency no longer stands behind it. Your Agency role there is suspended, straight away, when:
- you leave your agency, or are removed or suspended from its Team;
- your agency is declined, or starts closing its account;
- the practice ends its link with your agency, or moves to another agency.
Nothing restores it by itself, not even rejoining the agency. The practice's owner or managers can restore or remove suspended members from Settings → Team. A seat the practice restores for someone who has since left your agency stays restored: your agency's later changes no longer reach it.
A browser tab that was already open can keep showing live updates until it reloads, and a desk phone can still place calls for up to an hour. Everything else stops at once.
Link an existing practice
A practice that signed up on its own, or that already works with another agency, is linked from the practice owner's side.
Click Link an existing practice on the partner dashboard and enter the practice owner's email address. Smileline emails that address a link that is valid for 7 days. You can also copy the link and send it yourself. The dashboard never tells you whether the address belongs to a Smileline account.
The practice owner opens the link, signs in, chooses the practice to link and confirms with their password. An owner who signs in with Google types CONFIRM instead.
The practice appears on your dashboard. You are not a member of it: ask the owner to invite you from the practice's Settings → Team if you need to open it. Once you have joined, the owner can switch you to the Agency role.
If the practice already works with another agency, accepting moves it to yours. The previous agency stops seeing the practice and earns nothing on invoices paid from that day; its commission on earlier invoices is untouched. The previous agency's staff with the Agency role are suspended in the practice straight away. Anyone else from that agency who is a member keeps their membership until the practice removes them from Settings → Team.
A linked practice keeps whatever plan it is on. The free plan is only for practices you create; a practice on its trial or subscription carries on unchanged.
The practice owner can end the link at any time from the practice's Settings → Billing. See Billing.
Connect an AI agent
Once approved, you can connect Claude, ChatGPT or another AI agent to your agency and have it set up practices and work inside every practice currently linked to your agency that you belong to, with your role in each. Copy the address under AI agents on the partner dashboard and follow AI agents → Agencies.
Your agent can check how far a practice's setup has got in one read: the setup guide, the owner's invitation, the team, the website, ad and conversion setup, sending domains and the agreements the practice still has to accept. See Check a practice's setup.
Roles
Invite colleagues from Team in the partner sidebar. A partner account has two roles:
- Owner — everything: creates practices, sees commissions, edits the agency's website and payout details, and manages the team.
- Member — creates practices, looks after the ones they belong to and sees the lead reports. Members do not see the Commissions or Team pages, the commission column on the dashboard, or the payout details.
On the mobile app a partner account has team chat and your account settings only.
Your practices live in the same region as your partner account. A partner serving both the UK and the US needs a partner account in each.
The dashboard
The partner dashboard lists every practice you created or linked with:
- Status — free plan, subscribed, not subscribed (a linked practice that has never subscribed) or lapsed.
- Patients — how many of the free plan's 500 the practice has used.
- Waiting — enquiries held past the limit until the practice subscribes.
- New leads, Booked and Going ahead — the last 30 days.
- Reported — of those new leads, how many the practice marked as junk. Click the number to see them.
- Commission — what that practice has earned you so far.
Open a practice to see its full reports. Your website and payout details are at the bottom of the page; only the agency's owners and the Smileline team see the payout details.
Lead reports
When a practice marks a lead as junk — spam, a fake number, someone who never asked to be contacted, or just a poor-quality lead — it can add a reason. The Lead reports page lists every such lead across your practices, grouped by practice with the newest report first: the lead's name, treatment, source and campaign, when it arrived, when it was reported, and the reason. Where no reason was typed, it shows the not-proceeding reason the practice closed the lead with.
Use it to see which campaigns bring poor leads. Click a practice's name, or its Reported number on the dashboard, to see only that practice.
You only see leads that arrived after the practice joined you. If a practice unlinks and links again, earlier reports no longer show. A lead the practice un-marks disappears from the list.
Commission
- Your rate is set by the Smileline team (10% by default), can be changed at any time, and applies to every invoice recognised from then on.
- Commission applies to invoices paid on or after the day the practice was created by you or linked to you. Invoices paid before a link earn nothing, and an invoice already credited to another agency stays with that agency.
- Commission is calculated on the amount the practice actually paid, excluding VAT and net of any credit notes Smileline issued against the invoice. Complimentary invoices, and invoices for Academy courses, earn nothing.
- Each commission is accrued when the invoice is paid and becomes payable 45 days later, once the refund window has passed.
- Smileline pays payable commission by bank transfer or PayPal, using the payout details on your dashboard, and marks it paid.
- If an invoice is credited after your commission was paid, the difference appears as a negative adjustment and is netted off your next payout.
The Commissions page lists every invoice and its state, with totals per currency. While your application is being reviewed it shows the same notice as the dashboard.
