Social accounts
Connect the Facebook Pages, Instagram accounts, Google Business Profile locations, TikTok accounts, LinkedIn pages and YouTube channels that Social posts to, reconnect one that stops working, and remove the ones you don't use.
Open Social in the main sidebar, then Accounts. The page lists every account Social can post to and measure, with its status and whether it can Publish and report Insights. Owners and managers connect and remove accounts; everyone else who can open Social can see the list.
Connected accounts also appear as Social rows under Settings → Connected accounts, next to every other sign-in Smileline holds.
Connect Facebook and Instagram
Social doesn't sign in to Meta separately. It shares the Inbox's connection to your Facebook Page, and posts to the Page and to the Instagram account linked to it through that connection.
On Accounts, choose to connect Facebook and Instagram.
Meta's own login opens. Grant access to your Facebook Pages and allow every permission it asks for.
Back on Accounts, Choose this practice's Facebook Pages opens. Tick this practice's Pages and select Connect.
Each Page you ticked appears as a Facebook account, with its Instagram account next to it when an Instagram professional account is linked to the Page.
- Meta remembers every Page your Facebook login has ever granted Smileline, so if you manage several practices the list also shows theirs. Only the Pages you tick are added; remove any you don't want to post to.
- It's one connection, so the same login also connects each Page's Messenger, Instagram direct messages and comments to the Inbox, and Social needs at least one of those to be allowed. A Page can belong to only one practice at a time. See Connect Messenger, Instagram and comments.
- Pages already connected to the Inbox appear on Accounts automatically.
- To publish, the person who connects must be allowed to create content on the Page in Facebook. If they aren't, the account connects but can't publish; ask someone who is to reconnect.
Facebook's and Instagram's publishing and insights permissions are being added to Smileline's Meta access. When they are, each practice reconnects Facebook and Instagram once and allows the new permissions in Meta's login. Until then Publish and Insights read Reconnect to enable.
Removing a Page from the Inbox removes Social's access to it too. Social reaches the Page through its Inbox connections, so once all of them are disconnected under Settings → Channels (Messenger, Instagram direct messages and both comment feeds), the Page's Facebook and Instagram accounts show Reconnect needed until you connect the Page again. Removing Smileline from your Facebook account in Meta's settings does the same to every Page that login granted.
Connecting a Page again, from Accounts or from Settings → Channels, also brings back any of its accounts you removed from Social.
Connect Google Business Profile
Every practice can post to its Google Business Profile locations from Social, with no add-on. Review syncing, review replies and the SEO pages stay part of the SEO & Ads add-on.
Social uses the same Google connection as SEO → GBP. If your practice has already connected Google there and linked its locations, go straight to step 3.
On Accounts, connect Google and sign in with the Google login that manages the practice's Business Profile. That login may be an agency's and see other businesses too.
Keep the page open while Smileline finds the locations the login can see. When it finishes, the person who connected Google clicks Choose locations. In Link your Google locations, pick the Google location for each practice location, then click Save links. Every other Google location the login can see is removed from Smileline, and a location another practice already linked shows Connected to another practice.
Add each linked location you want to post to. A location can be added once Google has verified it. Switching it off under SEO → GBP pauses SEO posts and review requests only, not Social.
The card also shows the Google connection itself, with the reason when its last sync or Google's access failed:
- Choose locations reopens Link your Google locations to change the links. Only the person who connected Google can use it. It offers the locations Smileline still holds; to link a Google location that isn't there, reconnect Google and choose again.
- Sync refreshes the linked locations from Google, for example after Google verifies one. Smileline also refreshes them once a day.
- Disconnect removes the Google sign-in. It stops Social's Google Business Profile accounts as well as review syncing and SEO posts, and the accounts show Reconnect needed until Google is connected again.
If you leave out a location that a Social account posts to, Smileline keeps the location for Social, but the account shows Reconnect needed with the reason "The Google location was unlinked from the practice. Link it again, then reconnect." Link it again with Choose locations, then click Reconnect on the account.
Connect TikTok, LinkedIn and YouTube
TikTok, LinkedIn and YouTube each connect with the platform's own sign-in. Their cards appear on Accounts as each platform becomes available to your practice. Allow every permission the platform asks for: a sign-in that leaves out the permission Smileline needs to see the account adds nothing, so connect again and allow it.
- TikTok: sign in to the TikTok account the practice posts from.
- LinkedIn posts to company pages, not personal profiles. Sign in as someone who is a super admin or content admin of the practice's page. Every page where that person holds one of those roles is added, so remove the ones you don't want. If they hold neither role on any page, nothing is added.
- YouTube: read and accept the current Smileline Terms and Privacy Policy linked in its card, then sign in with the Google account that owns the channel, and choose the channel if Google asks. One channel is added per connection; to add another, connect again with that channel.
- TikTok and YouTube may be unavailable, or publish privately (visible only to the account itself), until each platform approves Smileline. While posts would be private, the page says so.
Connecting again refreshes the sign-in on the accounts already there. For LinkedIn it also brings back any page you removed that the person can still post to.
When an account needs reconnecting
An account Social can't use shows Reconnect needed. Social doesn't post to it or measure it until it's fixed.
| Account | Usual cause | What to do |
|---|---|---|
| Facebook, Instagram | All of the Page's Inbox connections were disconnected, Smileline was removed from the Facebook account, or Meta withdrew access | Connect Facebook and Instagram again |
| Google Business Profile | Google was disconnected, or the location was unlinked or is no longer verified by Google | Reconnect Google or fix the location, then click Reconnect on the account |
| TikTok, LinkedIn, YouTube | The platform ended Smileline's access | Click Reconnect and sign in again |
An account that works but is missing a permission shows Reconnect to enable on Publish or Insights. Choose Reconnect from the account's ⋯ menu and allow every permission the platform asks for.
Reconnecting restores the same account rather than adding a new one.
Remove an account
Choose Remove from the account's ⋯ menu and confirm. The confirmation says how many scheduled posts to the account will pause, for example "3 scheduled posts to it will pause instead of publishing." Social stops posting to it and measuring it:
- Facebook and Instagram: only Social lets go. The Page stays connected to the Inbox; disconnect it under Settings → Channels to stop that too. The account's live Auto-DM automations stop too, and replies still waiting to go out are never sent.
- Google Business Profile: only Social lets go. The Google connection, reviews and SEO posts keep working.
- TikTok, LinkedIn and YouTube: Smileline deletes its copy of the account's sign-in.
Posts scheduled to a removed account don't publish: when their time comes they pause and show Needs attention on the calendar. Connect the account again to publish them — see Paused posts after a reconnect.
Removing an account never withdraws Smileline's access on the platform's side, because the platform would end every Smileline sign-in made with that login at once. To revoke it completely, remove Smileline from the apps connected to that login in the platform's own account settings. That also ends the Inbox, reviews and anything else Smileline does with that login, including for any other practice it connected.
To bring a removed account back, connect it again, or add its Google location again. It returns as the same account. Its stopped Auto-DM automations stay stopped: open each one and click Go live to answer comments again.
Revoke Google access and delete YouTube data
A practice owner can choose Revoke Google access and delete YouTube data from a YouTube account’s ⋯ menu. Read the confirmation carefully: Google revocation can disconnect other practices and other Smileline integrations sharing the same Google grant. Confirm only when you have authority over that account’s access.
Smileline stops reading and posting immediately, requests Google revocation, and deletes the cached channel profile, imported video metadata, statistics, thumbnails and provider receipts. Your authored posts, media and videos already uploaded to YouTube remain. Use YouTube itself to delete an uploaded video.
YouTube data deletion in progress remains visible until both revocation and stored-data cleanup finish. Failures remain visible and retry automatically; an owner can click Retry to restart parked storage cleanup. The original deletion deadline is shown; approaching or overdue cleanup is highlighted and remains available for Retry. A pending deletion must finish before connecting YouTube again, so an older revocation cannot invalidate a new connection. Cleanup and Google authorisation checks continue independently of subscription access.
Ordinary Remove remains local: it deletes Smileline’s sign-in copy and starts cached YouTube data deletion without revoking the shared Google grant. You can also revoke through Google’s security settings, or request help at giulio@smileline.io.
Cached video titles and thumbnails are refreshed or deleted within 30 days. Links and upload receipts in authored publication history are retired after 29 days; your post text, media and publication record remain. YouTube’s reported counts are shown separately in Insights and are excluded from combined totals and engagement rates.
Who can connect accounts
Owners and managers connect, reconnect and remove accounts. That's the Connect social accounts & configure automations permission in Who can do what. Facebook and Instagram also need Connect messaging channels, because that connection feeds the Inbox too; owners and managers have both. Front desk and analysts can see the accounts but not change them.
Connecting and removing accounts is recorded in the Activity log.
